Glad you asked, yes! As a non-profit we don’t have to answer to shareholders and squeeze exhibitors for every last dollar. No, instead we’d rather see your brand at our event, year after year, even if it means some negotiation.

We have options that include signage or your brand marketing, that do not include a booth inside the facility. We really love to offer great raffle prizes to our participants, so we’re open to a fair exchange in that regard as well.

Finally, if there’s a service you can offer us for our event operations in exchange for marketing, let’s talk! 

Unfortunately not. We are considered a registered non-profit society but not a charity (also known as a qualified donee), so we cannot issue donation tax receipts.

Our event is a four-wheel drive (4WD) event.  The definition of 4WD for the purposes of the Show refers to a four wheel drive vehicle that is built for legal street and off-road use. It may include additional axles in some cases, all wheel drive, or individual wheel drive, etc for the purposes of demonstrating products or technology. It is not intended to include recreational 4WD vehicles such as quads, side-by-sides, sport ATVs etc. as these serve a related but different market.

For U.S. exhibitors that are planning to cross the border with any marketing materials or goods temporarily that will return to the U.S., Customs Form 4455 must be filled out. As well, you will need to refer to the Canadian Border Services Memorandum D8-1-2. Additionally, we will provide a letter for you to bring with you when you cross the border.

For U.S. exhibitors that will are planning to sell goods in Canada, or otherwise export items that will remain in Canada, we suggest you contact a reputable customs broker to help you with this.

Yes, the Facility will accept deliveries of property addressed to Exhibitors the week prior to the event. The Facility will NOT accept COD deliveries. The street address is:

Yes, during the move-in period, vehicles with a minimal amount of fuel may be driven into position at your booth for display during the event. Fuel tanks do not need to be drained while on display. Once parked, the battery must be disconnected and secured as to prevent accidental sparking or battery connection. Propane tanks are NOT permitted inside the facility.

Generally, no. As a non-profit, we strive to make the event as affordable as possible for both exhibitors as well as the public. In order to do so, we feel that a fair exchange of brand exposure and publicity is a more workable way for us to do business.

Your booth does not include electricity, chairs, tables or carpet. It only includes the pipe and drape sides and back (as applicable based on booth type). To order electricity, furniture or carpet please see Booth Sizes in Schedule A for our supplier contact information.

There is no space specifically put aside for individual exhibitors. Our preference is that you store your display packaging in a vehicle, or if you have a large amount you can park a trailer or truck at the event free. If there is demand we may open a common area however we cannot be held responsible for lost, stolen or damaged packaging, talk to your sponsorship contact.
